Showcase: Simplifying AD and SB compliance process by using RPA

OEM’s publish technical information on their portals. The technical engineering support is tasked to screen all applicable portals for new publications and download if applicable. Any new OEM publication needs to be manually entered in KLM Cityhopper’s MRO software system for further processing and assessment.

About KLM Cityhopper

KLM Cityhopper is the regional airline subsidiary of KLM, headquartered nearby Amsterdam Airport Schiphol, The Netherlands. The airline operates scheduled European feeder services on behalf of KLM to 69 destinations and has a fleet of 49 Embraer 175 and 190

Challenges

OEM’s publish technical information on their portals. The technical engineering support is tasked to screen all applicable portals for new publications and download if applicable. Any new OEM publication needs to be manually entered in KLM Cityhopper’s MRO software system for further processing and assessment.

KLM Cityhopper needs to use technical information from 8 different OEM portals.

Solution

Creating a software robot to automatically monitor OEM portals and if a new document is found, download it, read the content, enter applicable information in the MRO software system publication management module and distribute to required system engineer for further evaluation.

EXSYN performed the following steps:

  • Analyzed the existing process and the needs of the involved parties to perform their work

  • Designed the automation flow that fulfilled all requirements defined in step 1

  • Developed a so called ‘skeleton’ for each individual part of the automation flow

  • Afterwards each individual part was tested

  • Followed by simulations of the complete automation flow in a test environment

  • Create all relevant end-user documentation

  • Finally, the automation was deployed in the live environment

  • The automation BOT’s are monitored in MYEXSYN

Benefits

Higher Efficiency and Performance

Software bots can handle large data volume from multiple locations providing enhanced performance and increase efficiency as no assessment time lost on OEM documents.

Greater Compliance

With the reduced risk data entry errors in the airline technical applications and ability to diligently follow the regulatory norms, regulatory violations and fraudulent transactions are reduced.

Scalability and Adaptability

The solution would automatically update and adapt with evolutionary changes in settlement reports. The solution is highly adaptable and can easily handle the data growth.

Increased Employee Satisfaction

By eliminating the chores like manual data collection from various regions, data validation, excel based analysis, employees can devote their time for more creative and innovative tasks.

Better Audit Capabilities

Bots record all the activities it performs, keeping a dedicated audit trail all the time.

Time and Cost Savings

Freeing up of manpower to focus on value added tasks to increase operational benefits . It can even significantly saves  FTEs and labour cost.
